The information we store about you
We need to collect and use some personal information from hirers in order to manage the bookings for Crockham Hill Village Hall (CHVH). This personal information is collected and handled securely. Information includes the hirer’s name, address, email address, phone number, reason for booking and date/time of the booking. We also keep a record of the date/amount of each payment you make for accounting purposes.

How we use this information
You give us this information so we can reserve the date for your event, calculate how much you owe, confirm your booking and invoice you, and contact you about your booking should we need to.

We don’t send out newsletters, and will only ever use this information to contact you about your booking, your payments, your security deposit, or should any problems arise from your event. We will never pass this information on to anyone else. Your event type, date and time are shown on the calendar, but your personal information is not shown.

Length of time information will be held
Your details will only be kept for the shortest time required. This will vary according to the approval of the booking, the date of the booking and whether you are a regular hirer or not. Enquiry emails from you can be deleted once they have been processed. We need to keep payment details for 6 years for accounting purposes.
